Ask AI

Ask AI in the left-hand menu does two things:

  • Ask a question — about scanning, Batch Setups, finders, export, settings or anything else in DocView Capture. The answer is written from the help centre's pages, with links to the pages it used.
  • Batch Setup assistant — a conversation about a new or an existing Batch Setup: the assistant asks what it needs, proposes, and creates it (or applies the change into its draft) only when you confirm. The conversation stays with the Batch Setup and is shared with the other administrators. Nothing is released until you release it, and every change can be undone.

Everyone can ask questions. Building and changing Batch Setups needs the permission to manage Batch Setups.

Ask a question

Type the question and press Enter (Shift+Enter for a new line), or click one of the suggestions. Follow-up questions keep the conversation. Under each answer, From the help links to the pages the answer is based on — open them for the full steps and pictures.

Your conversations

Every conversation is kept, in the Conversations list on the left, newest first and named after its first question. Click one to open it and carry on where you left off; New starts another (the others stay). Use the pencil to rename a conversation and the bin to delete it. Your conversations are yours: other people do not see them.

If no model is available, Ask AI still lists the help pages that match the question.

The Batch Setup assistant

The Batch Setup assistant tab is a conversation with Ask AI about one Batch Setup. It asks what it needs, proposes, and creates the Batch Setup — or applies the change into its draft — only when you confirm. The conversation is kept with the Batch Setup and shared with the other administrators of your organisation: anyone can open it, see who said what, and carry on.

A new Batch Setup

  1. Click New.
  2. Describe what you need: which documents arrive, which values to capture, which checks, where the results go. Attach the requirement documents or sample forms with the paperclip (or drop them on the message box) — PDF, Word (.docx), text or images; up to 5 files of 25 MB.
  3. The assistant answers. When something important is missing it asks — click a question to answer it. When it can, it proposes the set-up: the proposal appears on the right, where you can untick document types, fields, the workflow steps or the output formats, and What will change shows exactly what would be created.
  4. Ask for changes in your own words — add a required PO number to invoices, remove credit notes, make the date required. Each proposal is kept in the conversation; Go back to this proposal brings an earlier one back.
  5. When the assistant says the proposal is ready, reply yes, go ahead or click Confirm — create the Batch Setup. It is created as a draft: nothing is released.

An existing Batch Setup

Choose it in the list on the left. The first time, the assistant reviews it — its document types, fields, batch fields and workflow — and asks what you would like to change. From then on it is the same conversation: describe the change, refine the proposal, and confirm with Confirm — apply into the draft (or yes, go ahead). You can come back at any time for more changes; the conversation and every change made from it stay with the Batch Setup.

Batch Setups with a conversation are marked with a speech bubble and show who wrote last; proposal waiting means a proposal has not been confirmed yet. Conversations about new Batch Setups that are not created yet are at the top, marked new.

Then open the draft, check it, add samples, test (see Test a Batch Setup) and release it when you are happy (see Versions and publishing).

What Ask AI changes, and what it never touches

Ask AI only changes the one Batch Setup you chose, and only in its draft:

It can It never does
Add document types and their recognition words Release a version
Add fields and batch fields, with their type, choices and the labels to read them by Change other Batch Setups
Change a field's label or type, or make it required Create or change lookups, dictionaries or scan profiles
Add missing workflow steps Set up export connections, credentials or secrets
Set the output image and data formats Write scripts, change users or permissions
Remove a type or field — only when the requirement says so, shown in red for you to untick Copy personal data from the requirement into the set-up

Anything the requirement asks for in the right-hand column is listed under To do by hand, for you to do yourself. A requirement that mentions other Batch Setups or shared settings is handled the same way: the item is listed, nothing is changed.

Undo and rollback

  • Undo — on the result, or later under Changes made by AI: the draft goes back exactly as it was before the change (a Batch Setup Ask AI created is deleted). Undo works while the draft is not released and no later AI change was made to the same Batch Setup (undo the latest first).
  • After release — restore an earlier version on the Batch Setup's Versions tab, as for any change (see Versions and publishing).
  • Changes made by AI lists every change: when, by whom, the Batch Setup and draft version, and what changed. Each is also in the audit log.

Choose the model (administrators)

System › Ask AI settings chooses the model that answers:

Model Where it runs Good for
DocView OmniRead (default) On your own servers — nothing leaves your network Short questions and simple requirements. It is a small model: allow its vision model under System › DocView OmniRead.
Anthropic Claude Anthropic's cloud Long requirement documents and forms
OpenAI (ChatGPT) OpenAI's cloud, or any OpenAI-compatible service at its own address Long requirement documents and forms
Azure OpenAI Your own Azure tenant and region Organisations that keep data in their Azure tenant
Google Gemini Google's cloud Long requirement documents and forms

For a cloud model, save its API key under Settings › Secrets and choose the secret's name; for Azure OpenAI also give the resource address and the deployment name. Test signs in and asks for one word, with the settings on screen, before you save.

What is sent: a question sends the matching help pages and the question; a requirement sends its text (read with OCR from PDFs and images) and up to four page pictures. Switch off Allow requirement documents to be sent to the model if documents may contain customer details that must not go to that service — typed requirements still work.
