Import documents

Not every document arrives on paper. DocView Capture can take files you already have and turn them into batches, just like scanned pages. There are four ways in:

Method Best for Who sets it up
Browser upload A few files at a time from your PC Nobody: operators use it directly
Watched folder (hot folder) Files dropped by an MFD, scanner or another system Administrator
Email mailbox Invoices and forms sent by email Administrator
REST API Other applications sending documents Developer and administrator

Supported file types

  • PDF, single or multipage
  • TIFF, single or multipage
  • JPEG and PNG

PDFs and multipage TIFFs are split into pages. After import, the batch follows its Batch Setup's workflow like any scanned batch: OCR, separation into documents, classification, extraction and so on.

Upload files in the browser

  1. Click Import in the left-hand menu. (It is its own menu entry and permission, separate from Scan.)
  2. Choose the Batch Setup.
  3. Check the Batch name. It is generated for you; if the Batch Setup allows it, you can change it. The copy button puts it on the clipboard.
  4. Optionally choose a Priority. Batch Setup default keeps the usual priority; 1 is highest and 10 lowest.
  5. Drag files onto the area marked Drop PDF, TIFF, JPEG or PNG files here, or click it to choose files.
  6. Check the list. Remove a file with the cross next to it.
  7. Click Create batch and release.

A progress bar shows the upload, then Processing pages… while the pages are prepared. When it finishes, the new batch appears under Created in this session with its pages, documents and the step it went to. Click its name for the batch details.

Note: All files you upload together become one batch. To make several batches, upload them in several goes.

Tip: DocView Capture remembers the Batch Setup you last used for upload, on any PC you sign in to.

If no Batch Setups are listed, none has been published for your role yet, or your role lacks import rights. Ask your administrator.

Add files to a scan batch

You can also mix files and scanned paper in one batch. On the Scan screen, click Import files (Alt+I) or drag files onto the pages. Drop them on a page to insert them before it. This is handy when there is no scanner at hand. The files are added one after another: an Importing files list under the pages shows each file with its progress (and a cross to cancel it), the status bar shows how far the import is, and each file's pages appear as soon as it is added. You can carry on working, scan, or add more files meanwhile; close or suspend the batch once the import has finished.

Watched folders (hot folders)

A watched folder imports every file that appears in a local or network folder. It suits multifunction printers that "scan to folder", or systems that drop files for processing.

Administrators set watched folders up under Administration › Batch Settings › Import sources, in the Watched folders and mailboxes list. Click Add import source, choose Watched folder and fill in:

Setting What it means
Folder to watch For example \\server\scans\invoices or D:\Import\Invoices
File types Separated with semicolons, such as *.pdf;*.tif;*.tiff;*.jpg;*.png
Each batch is One file, or One sub-folder (all its files)
Wait until a file is this old (seconds) Stops files still being copied from being picked up
After import Move to the processed folder or Delete the file
Processed folder / Error folder Where files go afterwards; empty means folders inside the watched folder

Also choose the Batch Setup, the polling interval (Poll every (seconds)) and whether the source is Enabled. Use Test to check the settings. The list shows when each source last polled and how many files it imported.

Email import

An email source imports attachments from a mailbox over IMAP or POP3. Choose Email (IMAP/POP3) when you add the import source, then set:

  • Mail server, Security (SSL/TLS, STARTTLS or None) and Port;
  • User name and Password (secret). The password is stored under Settings › Secrets; you choose its name here;
  • Folder (usually INBOX) and Attachment types;
  • Also import the message text, to add the email body as a page;
  • After import: Mark as read, Move to a folder or Delete the message;
  • Messages per check.

Important: With POP3, messages are deleted from the mailbox after import.

Note: Watched folders and mailboxes are polled by a DocView Worker. At least one running DocView Worker must have Polls import folders and mailboxes switched on. See DocView Workers.

More detail is on Import sources.

REST API

Other applications can send documents over HTTPS. Clients post files to POST /api/v1/batches with an API key in the X-Api-Key header, and can check progress afterwards.

Administrators create keys under Administration › Batch Settings › Import sources → REST API keys with Create key. A key can be limited to certain Batch Setups. Copy it straight away: it is not shown again. Remove a key with Revoke.

See REST API for the full reference.

After import

Imported batches appear on the Dashboard and in the Batch Manager. From there they flow through the steps defined in their Batch Setup's workflow.
