Operator performance

DocView Capture measures what each person does in every step:

  • Preparation, at the Preparation station;
  • Scan, Quality check and Classification;
  • Correction, Index / validate and Verify.

For each step it records what was done (pages, documents, fields), the time it really took, the quality of the work, and how that compares with your targets.

Working time: active, not just open

Each work screen tells the server, every 15 seconds, whether it is in use. A second counts as active when both of these hold:

  • the screen is visible;
  • there was keyboard, mouse or touch input within the idle limit, or a scan is running on the Scan screen.

A batch left open over lunch therefore does not count as work. The idle limit is Idle time not counted as work under Administration › System › Settings; it is 2 minutes by default.

Preparation time comes from the Preparation station, with its pauses left out.

Reports show active hours next to the older hours with batches open. Rates such as documents per active hour are therefore true working rates.

Targets

Reports › Performance targets holds the rate an experienced operator keeps up in each step:

Step Target in
Preparation minutes per 100 pages
Scan, Quality check pages per hour
Classification, Index / validate, Verify documents per hour
Correction fields per hour
  • Defaults and overrides. The first row applies to every Batch Setup; a Batch Setup's own row overrides it. Leave a value empty for no target.
  • Who can set them. Changing targets needs both Reports.Manage and Reports.People.

% of target is the time the work should have taken at the target rates, divided by the active time it took, over the steps that have a target. Some examples:

  • 1,200 pages scanned with a target of 1,000 pages per hour should take 1.2 hours. If it took 1 active hour, that is 120%.
  • 100% means on target. Above 100% is faster than target. Because it is based on hours, work across different steps and Batch Setups adds up fairly.

Quality per operator

Figure What it counts
Pages failed in QC (rescans) Pages that failed in quality check, counted to the person who scanned the batch.
Values changed after them Field values someone else changed after this person finished indexing or verifying the batch.
Documents rejected Documents this person rejected.

Reports

Under Reports › People:

  • Operator performance: one row per person for the period. It shows:
    • active hours and % of target;
    • boxes prepared, preparation hours and minutes per 100 pages;
    • pages scanned and checked, with their rates;
    • documents classified, fields corrected, documents and fields indexed, documents verified, with their rates;
    • the quality figures.
  • Operator performance per day: the same per person and day.
  • Operator productivity and Operator work per step now also show active hours and rates per active hour.
  • Preparation and Boxes in preparation now: see Preparation station.

All of them can be filtered by period, Batch Setup and person, downloaded as Excel, CSV or PDF, and scheduled by e-mail like every report.

Team now

Team now in the left-hand menu opens on your own performance. Choose Today, This week or This month at the top.

  • Three cards show your pages, documents, active hours, pages per hour and % of target for today, this week and this month. Each card shows the team average, how far above or below it you are, and your place in the team (for example 2nd of 8).
  • Your last 30 days: your pages each day against the team average, with your active hours as bars.
  • You against the team: a spider chart of pages, documents, pages per hour, active hours and % of target.
  • Your work by step and Where your time goes: your pages and time in each step (and preparation) against the team average.
  • Your share of target: a gauge, green on or above target, amber within 80%, red below.
  • When you work (or When the team works): active hours by weekday and hour of the day.

Drill down. Click a day, a step or a person in a chart to open its details underneath: their steps, their days and the batches they finished, with links to the batches. Click a step or a day in those details to open the next level below, and so on. Close a level with ×.

People with Reports.People also see Everyone for the chosen period: pages by person and step, share of target by person, pages per active hour and quality (pages rescanned, values changed by others, documents rejected). Click a person to drill into their work. Below that, Working now shows everyone working at this moment:

  • the step they are in;
  • the batch or box they are on, and for how long;
  • whether they are paused.

Below that, each person's figures today: active time, boxes prepared, pages scanned and checked, documents indexed and verified, and % of target. Green is on or above target, amber within 80%, red below. The page updates by itself every 20 seconds.

Who sees what

Performance figures are personal data.

  • Reports.People lets someone see everyone's figures, the team view and the targets. When upgrading, it was given once to the roles that manage batches.
  • Without it, people reports show only the person's own work, the dashboard does not show the operator productivity table, and Team now shows the person's own figures with the team average and their place, but no other names. Drill-down opens only their own work.
