The Batch Manager lists every batch in DocView Capture, wherever it is in the workflow. Supervisors use it to see what is happening, find a particular batch, and step in when something needs attention: a batch in error, a batch locked by someone who went home, or an urgent batch that should jump the queue.
Open it from Batch Manager in the left-hand menu, from the button on the Dashboard, or by typing in Search batches in the title bar.
Who can use it
| Permission | What it allows |
|---|---|
| View the Batch Manager | See the list, the properties panel and batch details, and open batches in their module |
| Reroute, unlock, suspend, delete and reprioritise batches | The actions under Retry, Resume, Unlock and More |
You only see batches of the Batch Setups your role gives you access to. See Users, roles and permissions.
Find batches
Use the filter bar at the top, then click Filter:
| Filter | Use it to |
|---|---|
| Search | Find by name, source or batch id |
| Batch Setup | Show one Batch Setup |
| Queue | Show one step, such as Index / Validate |
| State | (active) by default; or Ready, InProgress, Suspended, Error or Archived |
| Priority | Show one priority (1–10) |
| User | Show batches a user created or has locked (part of the name is enough) |
| From | Show batches created from a date |
| Split batches | Show only batches that were split, or made by a split |
The list refreshes every 10 seconds and updates straight away when batches move, keeping your scroll position.
The list
Each row shows the batch name, the Batch Setup and its version, the step and state, priority, pages, documents, when and by whom it was created (and the source), and who has it locked. A batch in error shows its error message under the name. A batch that was split, or made by a split, shows its group name beside its name.
States
| State | Meaning |
|---|---|
| Ready | Waiting to be picked up |
| InProgress | Open by an operator or being processed by a DocView Worker |
| Suspended | Stopped on purpose until someone resumes it |
| Error | Failed in an automatic step; see the message |
| Archived | Finished and exported |
Quick filter, row count and export
Above the table you find:
- the row count;
- Filter rows, which hides rows on screen that do not contain your text, without reloading;
- Export, which downloads Excel (.xlsx) or CSV.
The header row stays at the top while you scroll through the list.
The Batch Manager lists up to 1,000 batches at a time. If more match, a note says so. Narrow the filter to find others. Export always includes every batch that matches the filter, not just those on screen. Exports are recorded in the audit log.
See a batch's properties
Click a row (or select it and press Enter) to open the properties panel on the right. It shows:
- the batch actions;
- the workflow, with finished, current and future steps;
- the Documents, with type, pages, state and fields that have problems;
- Properties: Batch Setup and version, step and state, priority, source, created, in this step since, pages and documents, the split group, Split from (the batch it was split from) and Split into (the batches split from it, with their step and state), lock, completed and exported times, attempts and id;
- Batch fields, Source files (click to download the original file) and History, which lists every action with who did it and when.
Full details opens the same information on its own page. Use the up and down arrow keys to move between rows.
Open a batch in its module
For a batch waiting in a manual step, click Open in the list, double-click the row, or press Ctrl+Enter. The batch opens in its module screen, for example Index / Validate.
A suspended batch in a manual step shows Resume and open: it is resumed and opened in one go.
Note: Opening still checks your permission for that module and any four-eyes rule on the step.
Batch actions
The action buttons sit at the top of the properties panel.
| Action | When | What it does |
|---|---|---|
| Retry | Error | Runs the failed step again |
| Resume | Suspended | Puts the batch back in its queue |
| Unlock | Locked | Releases the lock held by a user; changes they have not saved may be lost |
| More → Priority + Set | Any | Changes the priority (1 highest, 10 lowest) |
| More → Move to + Go | Any | Sends the batch to the chosen step; it continues from there |
| More → Suspend | Not suspended or archived | Stops the batch, with a reason |
| More → Delete batch | Any | Deletes the batch with all pages and data; cannot be undone |
Each action asks you to confirm where it matters.
Priorities
Priority decides which batch operators get next from Get next batch and which batch DocView Workers pick up first. Raise an urgent batch to 1 so it goes to the front of every queue it reaches.
Move to another step and start again
Move to reroutes a batch to any step of its workflow. Use it to send a batch back to Index / Validate after a problem, or to skip ahead.
Tick Start again: remove documents and values, keep the pages to reprocess from scratch, for example after your administrator improved the Batch Setup. Documents, field values and step results are removed; the pages stay.
Split batches
A batch can be split into several by a Batch split step or by an operator (see Split batches). Each new batch is linked to the batch it came from: click Split from or a batch under Split into in the properties to go to it. The history of both batches records the split. Every batch of a split is worked on, exported, archived and deleted on its own; deleting one never removes page images another batch of the split still uses.
Archived batches
When export finishes, a batch is Archived. It stays in the Batch Manager (choose Archived in State) and is deleted automatically after a number of days. The panel shows the date. Administrators set the period under Settings with Delete archived batches after (days). The default is 30; 0 keeps them. See Archive and retention.
To process an archived batch again, use More → Move to. The batch goes to the chosen step and is exported again in full.
Important: Deleting a batch cannot be undone. When you only want to stop it, use Suspend.

Move a batch to the latest Batch Setup version
A batch keeps the Batch Setup version it started with. When a newer version has been released since, Upgrade to vN moves the batch to it, so the changes apply. It is in the batch's actions here (with the Manage batches permission) and in the Batch menu of every batch screen (Scan, Quality check, Review, Correction, Index, Verify) for the operator who has the batch open.
Before the batch moves, you see what changes: document classes are matched by key and fields by name, so documents of a class the new version does not have become unclassified, and values of fields it does not have are dropped. The batch stays in the step of the same name (or the same kind). A batch cannot move when the new version has no such step, or while someone else has it open.
