Correction

Correction is the fastest way to fix OCR results. Instead of opening each document in full, you see one value at a time: a clip of the page where the value was found, and a box to type what you see. Press Enter and the next value appears.

Because you work through the same field across all documents of a batch (for example every Invoice number, then every Total), your eyes stay in one place and your hands stay on the keyboard. This style of work is often called "key from image" or heads-down data entry.

A Correction step runs after extraction and before any full-page Index / Validate step. It only exists if the Batch Setup's workflow includes it.

Which values you see

The administrator sets up each Correction step:

  • Fields to correct: the fields to include, added with Add…. None chosen means all fields.

  • Only values the extraction was unsure about or that are invalid: when on (the default), you only see values read with low confidence and values that failed validation. When off, you see every value of the chosen fields.

  • Values come: One field in every document, then the next field (the default, described above); Document by document, fields in their order; or At random. At random is for data protection: values come in no order, and you only see the clip of each value, without whole pages, page thumbnails, document numbers or the table view, so nobody sees a whole record.

Values that already look right never reach you, so you spend your time where it counts.

Open a batch

  1. Click Correction in the left-hand menu. There is a card per Correction step with the number of batches waiting.
  2. Click Get next batch, or click a batch in the list.

Note: Correction has its own permission. If the step has a four-eyes rule, batches you may not open show someone else and Get next batch skips them.

The Correction screen

  • Top bar: the step and batch name, a progress bar with N of M done, and the batch buttons.
  • Left: the values to correct, grouped by field (for example INVOICE NUMBER (3/8)). Each row shows the document number and the current value. A green tick means done; a red mark means the value is invalid.
  • Centre: the field name, the document and its type, and a badge such as Read with 64%. Below it are the page clip, with the value's position marked, and the Type what you see box.

The page clip stays still while you key: it is always the same size and scale, and the value is always in its middle. When the field reads a zone set up in the Batch Setup (for example a form imported from Kofax), the clip shows that zone, so it is the same place on every document. Otherwise it shows where the value was read. Turn the mouse wheel over the clip to zoom in or out around the point under the mouse. Zooming in or out is kept from value to value; dragging is only for the value you are on.

If DocView Capture does not know where the value is on the page, it shows the whole page and says so.

Table view (ribbon, Layout group) shows every document as a row and the values to correct as columns, as in Index / Validate. Type in a cell and press Enter to save and move down the column (Shift+Enter moves up, Tab along the row, Ctrl+Enter accepts the value as it is). The clip of the value you are in is beside the table. Form view goes back to one value at a time. Your choice is remembered on this PC.

Correct values

  1. Look at the clip.
  2. Type the value exactly as it should be. For fields with a fixed list of values, choose from the list.
  3. Press Enter (or click Confirm and next).

The value is saved and checked. If it is valid, the next value opens. If not, you stay on it and the message tells you why, for example that a date is in the wrong format.

If the value is right even though a check says it is not, press Ctrl+Enter (or click Accept as is): the value is kept as typed, counts as done and the next value opens. Its checks, and the rules that name only accepted fields, are skipped until the value is changed.

For a list field (for example Y / N), type the first letter of the option to choose it, then press Enter. No mouse is needed.

Key Action
Enter Confirm and next
Ctrl+Enter Accept as is and next
Shift+Enter Previous value
F8 Next open value
Alt+P Suspend
Ctrl+S or Ctrl+Shift+Enter Close / Release

Tip: Click any row in the left panel to jump straight to that value.

Rules across fields

Validation rules can compare fields. For example, Net + VAT = Total. When a rule on a document fails, you see it under Rules on this document, with the fields it involves.

Correcting one value can make a rule fail on another field. When that happens, that field is added to your list and a message says how many more values need correcting.

Rules that fail and that this step can fix are listed at the top of the left panel under Rules that fail. Click one to go to a value that needs fixing. Rules on fields this step does not include are marked — checked again in the next step; they do not stop you.

Release the batch

When all values are done, the Close prompt opens by itself and offers Release batch (or Keep for later, or Stay); you can also use the Release button. The batch moves to the next step and the next batch waiting in Correction opens.

The Close button becomes Release once every value is done and no rule that this step can fix still fails. If rules still fail when you reach the end, a list shows which documents and rules need attention.

Other actions

The ribbon is laid out as on Scan: the Home tab has the commands of this step and, at the end, the Batch group (Batch ▾, Suspend, Close / Release); the View tab has the page (fit, zoom, turn, own window) and the layout. The quick access buttons above the tabs stay visible when the ribbon is collapsed (Ctrl+F1), and end with Close and Suspend. To put the batch back as it was when you opened it, choose Discard changes and close in the Close prompt. Right-click a page thumbnail (or press the menu key) for the page commands of this step. Next batch: on / off in the Batch group is your own switch, the same in every module: when it is on, Close, Suspend and Release open the next waiting batch of the module straight away (not the batch you just closed); when it is off, they take you back to the module's list of batches. In Correction, the thumbnail menu shows the whole page, goes back to the value, or goes to that document's next value to correct.

Button What it does
Suspend (Alt+P) Takes the batch out of the queue until a supervisor resumes it; choose or type a reason
Close / Release (Ctrl+S) Releases the batch when every value is done; otherwise closes it
Batch ▾ Properties (name, Batch Setup, step, documents, pages, created, and the priority, which you can change), Upgrade to the latest Batch Setup when there is one, Split batch… where allowed, and Delete batch (only with Delete batches, where the step allows it, after you confirm)

Close and Release are one button (Ctrl+S or Ctrl+Shift+Enter). When everything in the batch is done it shows Release; otherwise it shows Close. Either way one prompt says what is left and what is not saved yet:

  • Not finished: Save and close keeps your work (the value being typed is saved first) and returns the batch to the queue; Suspend… asks for a reason and takes the batch out of the queue; Discard changes and close puts the batch back as it was when you opened it; Stay goes back to the batch.
  • Finished: Release batch sends it to the next step; Keep for later returns it to the queue; Stay goes back to the batch.

If you leave the batch another way, for example through the menu, nothing is asked: your work is already saved, the batch goes back to the queue for later, and a notification says so.

Important: You can have Correction open in one window only. Opening it in another window or on another PC continues there at once, without asking; the first window stops and shows a bar with Use this window to take it back.

Correction or Index / Validate?

Correction Index / Validate
Works on One field at a time across the batch One whole document at a time
Shows A clip of the page The full page with all fields
Best for Fixing a few uncertain values quickly Reviewing documents, tables and line items, reclassifying

Many teams use both: Correction first for speed, then Index / Validate only for documents that still need it.
