After OCR, DocView Capture splits each batch into documents and decides what type each document is: an invoice, a credit note, a delivery note and so on. Most of the time it is sure. When it is not, the batch stops in Classification so a person can check it before any data is extracted.
Getting the document type right first matters: the type decides which fields are extracted and how they are checked.
When a batch goes to Classification
A batch is sent to Classification when:
- a document's type could not be decided, or its confidence is below the threshold set for that type;
- some pages are not in any document;
- the Batch Setup uses Advanced split separation with Always let an operator check the split in Classification switched on.
If everything is certain, the batch skips this step. Classification only runs if the Batch Setup's workflow includes it.
Open a batch
- Click Classification in the left-hand menu. You see a card for each Review step with the number of batches waiting.
- Click Get next batch, or click a batch in the list. Batches marked mine are ones you already have open.
Note: Classification has its own permission, separate from Index / Validate. If a four-eyes rule applies to the step, batches you may not open show someone else and Get next batch skips them.
The review screen
The screen has three panels. You can drag the dividers to resize them.
- Left: the documents in the batch, each with its number, type and page thumbnails. Unseparated pages at the top holds pages that are not in any document.
- Centre: the page image, with zoom, Fit width, Fit page, rotate view. Double-click the page to fit it in the viewer.
- Right: the Document class of the selected document, and its Classification details: the class, the classifier's confidence, whether it is still to check or confirmed, and the number of pages. Fields are not shown here: they are read after this step and keyed in Index / Validate.
Table view (ribbon) shows every document as a row with its class (which you can change in the row), confidence and pages. Click the tick in a row to confirm its class. Form view goes back.
A document the classifier was unsure about shows The classifier was not sure. Confirm or change the class. The confidence is highlighted in amber.
The ribbon status shows Document N of M and how many are still open.
Confirm or change the document type
- Select a document in the left panel. The first one that needs attention opens by itself.
- Look at the pages.
- If the type in Document class is right, click Confirm class (Ctrl+Enter or Alt+Enter).
- If it is wrong, choose the correct type in Document class, then click Confirm class.
The next document that needs attention opens. When all are done, the Close prompt opens by itself and offers Release batch (or Keep for later, or Stay); you can also use the Release button.
Tip: Press Alt+C to jump to the Document class list, then type the first letters of the type.
Fix how pages were split
Separation rules are good, but a stapled pack or a missing separator sheet can fool them. You can correct the split here, if your role and the Batch Setup allow it.
| To do this | Do this |
|---|---|
| Start a new document at a page | Show the page, then click Split in the image toolbar |
| Join a document to the one before | More → Merge with previous document |
| Move a page to another document | Drag its thumbnail onto the other document, or between two of its pages |
| Change the order of documents | Drag the document's heading up or down |
| Turn loose pages into a document | Click Make a document under Unseparated pages |
| Rotate a page | Rotate page left (Alt+L) or Rotate page right (Alt+R) |
| Delete a page | Click the bin in the image toolbar |
After a split or merge, check the type of each resulting document and confirm it.
Reject a document
If a document does not belong in the batch at all, choose More → Reject document (Alt+J) and pick or type a reason, such as Duplicate or Unreadable. Rejected documents are not exported. Click Undo next to the rejection to take it back.
Release the batch
When every document has a type, the Close button shows Release. Click it (Ctrl+Shift+Enter) and choose Release batch. The batch moves on to extraction.
DocView Capture will not release a batch while a document has no type or still needs review. The message tells you which documents to look at.
After release, the next waiting batch opens so you can keep going. Next batch (Alt+N) leaves the current batch for later and opens the next one.
Other actions
Next batch: on / off in the Batch group is your own switch, the same in every module: when it is on, Close, Suspend and Release open the next waiting batch of the module straight away (not the batch you just closed); when it is off, they take you back to the module's list of batches.
| Button | What it does |
|---|---|
| Suspend (Alt+P) | Takes the batch out of the queue until a supervisor resumes it, with a reason |
| Close (Ctrl+S) | Asks whether to Save and close (returns the batch to the queue), Discard changes and close (puts it back as it was when you opened it) or Suspend… |
| Batch ▾ | Properties (name, Batch Setup, step, documents, pages, created, and the priority, which you can change), Upgrade to the latest Batch Setup when there is one, Split batch… where allowed, and Delete batch (only with Delete batches, where the step allows it, after you confirm) |
| Documents | Shows or hides the left panel |
| Reset view | Puts the panels back to their default sizes |
| Shortcuts | Shows the keyboard shortcuts and lets you change them |
Your panel sizes and shortcuts follow you to any PC.
Important: You can have Classification open in one window only. Opening it in another window or on another PC continues there at once, without asking; the first window stops and shows a bar with Use this window to take it back.
