Search

Search finds anything that is in DocView Capture: a batch by its name or id, a document by one of its field values, or a page by the words printed on it. Use it while a batch is still being worked on, after it was exported, or when a customer calls about a document you scanned last week.

Open it from Search in the left-hand menu. The page opens empty: results are shown only once you type something to search for or choose a filter, so nobody sees a list of batches they did not ask for.

Who can use it

You need the permission Search batches, documents and page text (Module.Search). The Operator, Verifier and Supervisor roles have it from the start. See Users, roles and permissions.

You only find batches of the Batch Setups your role may use, the same ones you see in the Batch Manager. Archived batches (export finished) are found too. Deleted batches are never found: their pages, values and text are removed with them.

  1. Type what you are looking for in the search box, for example a supplier name, an invoice number or a few words from the page.
  2. Press Enter or click Search.
You type You find
globex Batches named Globex…, documents with a field value containing "globex", and pages with "globex" in their text
invoice globex Only results that contain both words
"acme supplies" The two words together, in this order
INV-2026-0042 The value as typed, hyphens included
A batch id (for example 0199a2…-…) That batch

Upper and lower case do not matter.

Look in

The buttons under the search box choose what to look in:

Button Searches
Everything Batches, documents and page text. With filters but no search words it lists the batches that match the filters, newest first.
Batches Batch name, batch id, where the batch came from (for example the file or mailbox) and batch field values
Documents Document field values (including table rows) and the document type
Page text The words read from each page by OCR
Bookings Booking reference, courier tracking number, box code, client code or name and client reference. Results show the client, courier, status, date and how many batches were made; opening one goes to the booking or box page. Only shown to people who may see bookings.

Filters

Click Filters to narrow the search. A blue on badge shows that a filter is in use.

Filter Use it to
Batch Setups Search only some Batch Setups. Ctrl+click to choose several. None chosen means all you may use.
Document type Only documents (and their pages) of one type, such as Invoice
Operator Batches someone created or worked on. Type part of the user name.
Queue Batches waiting in one step, such as Index / Validate
State Ready, In progress, Suspended, Error or Archived
Dates apply to and From / To Batches created in the period, or batches with any activity in the period (created, worked on, moved, exported)
Include archived batches Untick to leave out batches whose export has finished
Sort by Newest batches first, oldest first, or by batch name

Click Apply. Clear filters keeps your search words and removes the filters.

Results

Each result shows:

  • a Batch, Document or Page label;
  • the batch name, and for documents and pages the document number, document type and page number;
  • the Batch Setup and version, the queue and state, when the batch was created and who worked on it;
  • a short piece of text around what was found, with the search words highlighted, and where it was found (for example Invoice number: or Page text:).

25 results are shown at a time; use the page numbers under the list for more. When a search finds more than 1,000 results, add words or filters to narrow it.

Preview

Click a result's batch name to see its page on the right (below the list on small screens):

  • for a page result, the page with the words found marked;
  • for a document result, the page the matching field value was read from, with the value marked; otherwise the document's first page;
  • for a batch result, the batch's first page.

Use the zoom buttons, drag to move around, and the mouse wheel to zoom.

Open the batch

Click Open (or the arrow button beside a result) to open the batch in the Batch Manager's batch view. Document and page results open at that document or page, outlined. From there you can open the batch in its module, see its history and use the Batch Manager's actions. You need View the Batch Manager to open batches.

How page text is searched

The words of every page are kept for searching when the page is read (OCR), and again when a page is rotated and read again. Pages that were read before Search was installed are added in the background by the DocView Worker, so they may take a while to be found after an upgrade. Your administrator can see the progress under Administration › Settings › Search.

On large systems your administrator can switch on SQL Server Full-Text Search for faster page text searches. With it, a word also finds words that start with it (for example invoic finds invoice and invoices). A small lightning badge beside the title shows when it is in use. See Settings.

Tips

  • Search for the most unusual word first, such as a reference number, rather than common words like invoice.
  • OCR can misread characters (for example 0 and O). If a number is not found, search for part of it.
  • Hand-written values are often not in the page text. Search the field value (Documents) instead.
