DocView Capture by DocView.AI3 Nov 2026 09:43

Quick start

This quick start takes you from a fresh installation to your first exported batch in about 15 minutes. You will import a few invoices, let DocView Capture read them with OCR, check the results and find the searchable PDFs and data files in the export folder.

Before you start

You need:

  • A Windows 10 or 11 PC (64-bit) that meets the system requirements.
  • The release file DocViewCapture-Workstation-<version>.zip.
  • Two or three invoices as PDF, TIFF, JPEG or PNG files. Scanned or electronic invoices both work.

Step 1: Install DocView Capture (about 5 minutes)

  1. Unzip DocViewCapture-Workstation-<version>.zip to a folder.
  2. Double-click Install.cmd and allow it to run as administrator. Press Enter twice to keep the suggested folder and port.
  3. Wait while the installer sets up SQL Server Express (if needed) and the two Windows services.

When it finishes, your browser opens the setup wizard at http://localhost:5210/setup. Full details are in Install on a single workstation.

Step 2: Finish the setup wizard (about 3 minutes)

  1. Database: select Test connection, then Create database and continue.
  2. Administrator: the user name is filled in as DocView; type your name and, if you like, a password twice. Leave the password boxes empty to use the default password DocView@2026!, then change it after signing in (account menu › Change password; DocView asks you to when you sign in with the default).
  3. Storage and Site address: keep the suggestions.
  4. Extras: optionally tick Load six sample invoices.
  5. Select Finish setup, then Start using it.

You are signed in and arrive at the Dashboard. It shows the work waiting in each step and how capture is performing. Next time, sign in with the user name and password you chose. See The setup wizard.

Step 3: Check the sample Batch Setup

A Batch Setup describes how documents are captured, recognised, verified and exported. On first run, DocView Capture creates and releases one for you, called Sample Invoices.

  1. In the menu, under Administration, select Batch Setups.
  2. Open Sample Invoices to look around. It has Invoice and Credit note document classes with fields such as invoice number, date, total and VAT.
  3. You do not need to change anything for this quick start.

Tip: To make your own Batch Setup from a template, select New Batch Setup. Choose Supplier invoices or General documents, give it a name and an export folder, then select Create Batch Setup. New Batch Setups start as a draft: open it and select Release before operators can use it. See Batch Setup templates.

Step 4: Import your invoices

  1. In the menu, select Import (or Scan to use a scanner).
  2. Choose Sample Invoices as the Batch Setup.
  3. Drop your invoice files on the box that says Drop PDF, TIFF, JPEG or PNG files here, or click it to choose files. All the files become one batch.
  4. Select Create batch and release.

The batch now goes to the automatic step OCR, separation & classification, then Extraction & validation. The DocView Worker service does this in the background. For a few pages it takes seconds.

Note: Want to scan from a scanner instead? Select Scan in the menu, choose the scanner and click Create batch and scan. The first time, the Scan screen offers to install the DocView Scan Agent on your PC. See Scan documents and Scan Agent.

Step 5: Follow the batch

  1. In the menu, select Batch Manager.
  2. Find your batch in the list. The list refreshes every 10 seconds.
  3. Click the batch to see its properties panel, with its workflow, documents with problems and history.

Where the batch goes next depends on the results:

  • If DocView Capture was unsure about a document's class, the batch waits in Classification.
  • If a field is missing, uncertain or invalid, the batch waits in Index / Validate.
  • If every value was found and passed its checks, the batch goes straight through to export.

Step 6: Check and correct the data

If your batch is waiting for an operator:

  1. In the menu, select the module where it is waiting, for example Index / Validate.
  2. Select Get next batch, or double-click your batch in the list.
  3. The screen shows the documents on the left, the page image in the centre and the index fields beside it. Fields with problems are flagged.
  4. Click a field, then click a word on the image to fill it. Or type the value.
  5. Use Next problem to jump to the next field that needs attention.
  6. Select Complete document for each document.
  7. When all documents are complete, select Release batch.

For more about this screen, see Index and validate. In Classification, confirm or change the document class, then release the batch in the same way (see Classification).

Step 7: Find your exported files

After release, the automatic step PDF generation & export creates the output. By default, Sample Invoices writes searchable PDFs with XML and JSON data files to the default export folder:

C:\ProgramData\DocViewCapture\Export

Open that folder in File Explorer to see your files. In the Batch Manager, the batch now shows as Archived. Archived batches are kept for 30 days by default, and you can move them back to any step if you need to process them again.

Tip: The export folder for new Batch Setups is set by Default export folder under Administration › Settings. Each Batch Setup's own export is set on its Output & export tab. See Output and export.
