Scan profiles

A scan profile is a named set of scanner settings, such as "Invoices 300 dpi black & white duplex". Operators pick a profile on the Scan screen instead of setting up the scanner every time. This gives consistent image quality, which helps OCR and keeps file sizes predictable.

Go to Administration › Batch Settings › Scan profiles. You need the permission Admin.BatchClasses, the same permission that edits Batch Setups.

The page lists the profiles on the left, grouped by the Batch Setup that uses them (shared profiles under All Batch Setups). The selected profile opens on the right, with a one-line summary of its settings.

You can also create and change profiles while designing a workflow: select the Scan step on a Batch Setup's Workflow tab. See Workflow.

Note: The settings under Done by the scanner while scanning

Each of these can be Scanner's setting (the default for new profiles), On or Off. Scanner's setting leaves what is set in the scanner's own driver as it is, so settings made with Driver properties on the Scan screen or Scanner properties… in the Scan Agent's tray menu are kept. are carried out by the scanner itself. The Batch Setup's Image enhancement step does similar work in DocView Capture after scanning, for every scanner. See Image cleanup and separation.

Create a scan profile

  1. Go to Administration › Batch Settings › Scan profiles and click New scan profile, or select a profile and click Duplicate.
  2. Fill in the settings (see below).
  3. Click Save profile.

To change a profile, click it in the list. To delete it, select it, click Delete and confirm.

Settings

The settings are in four sections.

Profile

Setting Choices Meaning
Name Free text What operators see on the Scan screen.
Used by All Batch Setups, or one Batch Setup Where the profile is offered.
Default profile On or off Used by every Batch Setup whose Scan step chooses no profile, including new Batch Setups. Only one profile is the default; it is marked Default in the list.
Preferred scanner Free text, optional Part of a scanner's name, for example fi-7160.

Paper

Setting Choices Meaning
Page size & cropping Automatic – each page at its own size, Whole scan area, Scanner's setting, A4, A3, A5, Letter, Legal Default Automatic: each page is cropped to its own edges, with no scanner background around it. Whole scan area keeps everything; Scanner's setting uses the driver's. Pages come from the feeder; the Scan screen's Flatbed button scans one page from the glass.
Stop on double feed Scanner's setting, On, Off The scanner stops when two sheets go through together.
Both sides (duplex) On or off Scan the front and back of each sheet.
Stop on double feed On or off The scanner stops when two sheets go through together (ultrasonic detection).

Image

Setting Choices Meaning
Resolution 100, 150, 200, 240, 300, 400, 600 dpi Default 300 dpi.
Colour Black & white, Greyscale, Colour, Automatic colour detection Automatic: the scanner scans colour pages in colour and the others in black & white, where it can.
Black & white threshold Scanner decides, or 1 to 254 Black & white only. Lower makes the page lighter, higher makes it darker.
JPEG quality Low, Medium, High Greyscale and colour only. Lower gives smaller files.
Brightness -100 to 100 0 is neutral.
Contrast -100 to 100 0 is neutral.

Done by the scanner while scanning

Setting Meaning
Straighten pages (deskew) Straightens pages fed in at an angle.
Crop to the page edges Cuts each image to the edges of the sheet, whatever its length.
Remove blank pages Leaves out blank sides, for example the backs of single-sided sheets in a duplex scan.
Remove specks Removes single dots of dirt.
Show the scanner's dialog Opens the scanner's own settings window at every scan.
Rotation after scanning Automatic (right way up) (the default), None, Rotate 90°, 180° or 270° (for documents always fed the same way).
Drop out colour None, red, green or blue: that colour is left out, for example the red boxes of a printed form.

Choosing good values

  • Resolution: 300 dpi is the usual choice for OCR. Use 200 dpi for clean, large print when storage matters. Use 400 dpi or more for small print or poor originals.
  • Colour: Black & white gives the smallest files and works well for typed documents. Use greyscale for photos, stamps or faint print, and colour only when colour carries meaning.
  • Duplex: Turn it on for double-sided originals. Blank back sides can be removed by the Batch Setup's blank page cleanup.
  • Output format: The format and compression of exported files, for example PDF, or TIFF with CCITT G4, are set on the Batch Setup's Output & export tab. See Output and export.

Tip: Scan a few typical documents with a new profile and check them on the Batch Setup's Test tab before you roll it out. See Testing a Batch Setup.

Profiles for one Batch Setup or for all

A profile can belong to one Batch Setup, or be shared by all.

  • On the Scan screen, operators see the profiles of the batch's Batch Setup and every shared profile.
  • Profiles of the Batch Setup are listed first, then shared profiles, each in name order.

Use shared profiles for general settings, and Batch Setup profiles for special cases, for example a colour profile only for photo ID documents.

Preferred scanner

When a PC has several scanners, Preferred scanner helps the Scan screen pick the right one. The Scan screen chooses a scanner in this order:

  1. The scanner the operator last used on this PC.
  2. Otherwise, the first scanner whose name contains the Preferred scanner text (upper and lower case do not matter).
  3. Otherwise, the first scanner in the list.

The operator can always choose another scanner.

How operators use profiles

On the Scan screen, next to the scanner list, operators choose a profile from the Scan profile list. The profile's values fill the Scan settings for this batch panel. From there operators can:

  • change a setting for this batch only. The panel shows Changed for this batch, and the change stays with the batch until it is closed or released;
  • go back with Back to the Batch Setup settings;
  • choose Custom to set everything by hand;
  • open the scanner's own Scanner driver properties dialog.

Checked against this PC's scanner. When the Scan Agent runs on your PC, the profile editor lists what the scanner cannot do with the profile (for example automatic colour detection or 270° rotation), so you can fix it before operators scan. The Scan screen asks again before a scan.

Settings are Locked while scanning. Changes never alter the profile itself, so other operators are not affected.

See Scanning and Scan Agent for the operator's side.

Scanner support

DocView Capture talks to scanners through the Scan Agent on the operator's PC, using TWAIN or WIA drivers. Not every scanner supports every setting, so check a new profile with a test scan on each scanner model you use. A setting the scanner does not support is skipped and noted in the Scan Agent's log; the scan still runs.

The settings under Done by the scanner while scanning need Scan Agent 1.5.2 or later. The Scan screen offers the update when an older agent is installed.

Tip: The Scan Agent's setup program installs the 32-bit agent when a scanner only has a 32-bit TWAIN driver. See Scan Agent.

Audit trail

Deleting a scan profile is recorded in the audit log as ScanProfileDeleted.
